Responsibilities:

    Responsibilities:

     

    • Front lobby desk reception
    • Coordinate communications, including taking calls, responding to emails, and interfacing with internal and external industry partners
    • Coordinate incoming and out-going facility mail, which includes shipping and receiving of packages
    • Prepare and edit internal and external correspondence, communications, presentations, and other documents for team members and industry partners
    • Design and maintain databases
    • File and retrieve documents and reference materials
    • Research, price, and purchase office supplies
    • Conduct research, collect and analyze data, to prepare reports and documents
    • Arrange and coordinate third party facilities-related initiatives, such as building construction, recycling, lawn, and snow removal maintenance
    • Arrange and coordinate meetings, events and luncheons to take place inside and outside the work place, such as golf tournaments, fund-raising, and staff communications and community events
    • Record, transcribe, and distribute minutes of meetings
    • Monitor, screen, respond to, and distribute incoming communications
    • Back-up for Executive Assistant
    • Receive and interact with incoming visitors
    • Liaise with internal staff at all levels
    • Interact with external clients
    • Coordinate project-based work
    • Review operating practices and implement improvements where necessary
    • Uphold a strict level of confidentiality
    • Develop and maintain a level of professionalism among staff and industry partners
    • Other duties and tasks as assigned

     

    Qualifications:

     

    • Minimum 2-3 years of experience as an Administrative Assistant reporting directly to Executive management
    • Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite
    • Knowledge of standard office administrative practices and procedures
    • Knowledge of facilities and project management
    • Proficiency in collaboration
    • Strong organizational and planning skills, project management, and problem-solving skills, with impeccable multi-tasking abilities
    • Exceptional interpersonal skills

     

    Education:

     

    • Minimum of an Associate Degree in a relevant field; Bachelor Degree preferred
